Q: Is there specific help available for different pages around the site?
A: Yes, there is page specific help on almost every page throughout the site. Just click on the icon in the top right corner of every page to open the help window.

Q: Is there a charge to use the ScheduleCards website?
A: No, it is absolutely free.

Q: Do I need to install any software on my computer?
A: No. The ScheduledCards system is completely web-based, so you can access it from any internet connected computer.

Q: How many contacts am I allowed to have?
A: You are allowed to have up to 100 contacts.

Q: What if I need more than 100 contacts?
A: For a small monthly fee, you can use the ScheduledNotes website where you can have 500+ contacts, and no advertising on the greeting cards that you send. Please visit http://www.schedulednotes.com

Q: OK, I signed up, how do I get started?
A: You should start by entering information for your contacts. You can create contact records one by one, or import a contact file that you created in other applications.

CONTACT MANAGEMENT

Q: How do I enter contacts one by one?
A: Click on the Contact menu, and then click Create Contact. Enter the required information for the contact, and click the SAVE button.

Q: What information is required for each contact?
A: You don’t need anything more than the email address to create a contact record. Please note though, that if you’re planning to schedule Birthday or Anniversary cards for a contact, you must fill in this information as well.

Q: What if I have contacts in other programs? Do I have to re-type them into ScheduledCards?
A: No! ScheduledCards will import contacts from every major email program, and virtually any other type of software that allows you to export your contact list. Please see the instructions under the help button on the right side of the Upload Contacts page.

Q: How do I organize my contacts?
A: ScheduledCards allows you to assign contacts to contact groups. You can use these groups to quickly select contacts for bulk greeting card sends.

Q: Can I create my own groups
A: Yes. There are 3 system groups (Friends, Family, Co-Workers) that are created automatically for you when you create your account. You can also add as many groups as you would like.

Q: Can contacts belong to more than one group?
A: Yes, you can assign contacts to more than one group. For example when you first import your contacts from a program like Gmail, you might assign them all to a group called "Gmail Contacts". Then you can select groups of contacts, for example "Friends" and assign the contacts to that group as well. Using the group function will help you categorize your contacts so that you can quickly pull up lists of contacts to send certain types of cards.

Q: Can I search for specific contacts after I have uploaded them?
A: Yes. At the top of the contact management screen there is a search form that allows you to search for contacts by last name, first name, email address, group or occasions for which they have had cards scheduled. Just fill in one or more of the fields and click the SEARCH button.

Q: How do I edit a contact?
A: On the contact management screen, as you mouse over a name, you’ll notice that the row for that contact changes color. Just click anywhere on the highlighted row and the "Edit Contact" dialog box will pop up. Change or add anything you need to, and then click the SAVE button. To cancel your changes, click the X in the top right corner of the Edit Contact pop up box.

Q: If only the email address is required, how will the system know when to schedule a Birthday or Anniversary card?
A: You must add this information for each contact record in order to schedule a Birthday or Anniversary card. If you accidentally try to add a contact with no Birthday or Anniversary date to a bulk send, the system will stop you before you can finalize the schedule, and highlight the contact with missing information.

Q: What if I want to change the name of a group?
A: Under the Contact menu, click "Manage Groups". All of the groups that you have created will be displayed. You can edit, change or delete any of these groups (with the exception of the system groups – these cannot be edited or deleted, and do not show up in your group list.

Q: What happens to the contacts that were assigned to a group if I delete it?
A: If you delete a group, the system removes that group information from every contact that was associated with the group. The contact record itself is not affected.

SENDING CARDS

Q: How do I send a single card?
A: Under the Cards menu, select "Single Card Wizard". Then either select from one of the Most Popular cards from the thumbnail list, or click on an occasion category to see cards that are specific to the occasion you would like to send the card for. Once you’ve found a card you like, click the USE THIS CARD button, and then either select an existing contact, or create a new contact to send the card to.

Q: What if it’s a Birthday Card and I haven’t entered the birthday information for the contact
A: The system will prompt you to enter the birthday information during the card creation process

Q: What if the birthday is already passed and I still want to send the card?
A: After you choose a card and enter the birthday information, the system will give you an opportunity to specify the actual send date. Specifying today’s date will send the card immediately. The card will still be scheduled for future sends on the actual birthday, so that you won’t be late again next year.

Q: How do I schedule cards for groups of contacts, or all of my contacts at one time?
A: Under the Cards menu, use the "Bulk Greeting Card Wizard". The wizard will walk you through the steps of selecting the contacts to send to, and occasions you would like them to receive cards on. The system will choose a default card that will apply to all selected contacts for each occasion; however you may change these defaults in the Card Details section of the Bulk Greeting Card Wizard.

Q: What if I don’t want everyone to get the same card, or the same message?
A: The final step of the Wizard allows you to "Refine Scheduling Parameters", where you can select individual contacts and change the greeting card image, or the text. Once you are satisfied that you’ve changed whatever you need to change, make sure you click the FINALIZE SCHEDULE button to complete the wizard.

Q: Can I see all of the cards for a particular artist?
A: Yes, click here

Q: Can I upload my own images?
A: No, you need upgrade to Scheduled Notes.

REPORTS AND ACCOUNT MANAGEMENT

Q: How do I know that my cards were sent?
A: Under the Account Settings section of the Profile page, make sure that you check off the box that says "Send Daily Reports", and click the save button. The system will send a report on days that cards were sent detailing the contacts that received cards that day.

Q: Is there any other reporting available?
A: For additional reporting features, you should upgrade to our ScheduledNotes product. ScheduledNotes has additional features like a month at a glance calendar report that allows you to see exactly what cards are scheduled to send on a month by month basis. From the calendar report, you can delete an individual occasion for a specific contact, or remove all schedules for an occasion from all contacts. ScheduledNotes also features a Mailing History report that is searchable by date range, and allows you to see both past sends and future schedules in a simple report format. Q: What if I change my email address
A: Click on the Account Settings link on the Profile page, change the email address to your new one, and click the SAVE button. The system will automatically update so that daily reports are sent to the new address, and any cards that are sent out with the "Use my personal address" checkbox selected, come from the new address.
